Responsibilities
Reporting to the Manager of Records and Systems, the successful candidate will:
- Perform on a daily basis various customer service, technical, process-oriented and student data related tasks on various systems and platforms, including but not limited to, the Ontario Universities Application Centre data transmissions, the electronic data interchange, the Ontario Education Number process and other student related processes to ensure the data is processed on time, with high quality standards, accurately, confidentially, and correctly, and is reliable for various end-users;
- Encrypt, decrypt, verify, analyze, import, enter and process all new applications, registrations, grades, grade changes, modifications, additions and related data processes and monitoring daily, including all student related processes for our affiliates, partners, and third parties;
- Import all electronic student data into the various systems and perform all corrections deemed necessary, perform quality assurance and verify the data entered to ensure accuracy and reliability;
- Maintain various Student Information System (SIS) database components up-to-date, including institution files, OEN records, student data, transcript requests, letters of enrolment, and letters of permission;
- Process and input accurately registration and admission-application data, external-internal-transcript data, student data, grades, registration, etc., and input transfer-credit data and any data related to students and courses/course sections;
- Email, mail or scan various student documentation;
- Provide outstanding customer service to students, faculty, colleagues and various stakeholders as part of your daily work requirements;
- Prepare various reports as directed by the Manager;
- Assist the front-office staff in-person, live chat and by phone;
- Perform various data entry tasks and quality assurance tasks;
- Perform other duties directly related to this position as assigned.
Qualifications
- Two-year college certificate;
- Three to five years of related work experience;
- Ability to work fluently, oral and written, in both official languages, French and English;
- Excellent communication and interpersonal skills;
- Excellent working relationship with students, staff, colleagues and partners;
- Dependable and reliable;
- Detail-oriented, results-driven and very meticulous;
- Highly positive attitude and customer-oriented focus;
- Proven and demonstrated commitment for the customer experience;
- High proficiency with computers, software and databases;
- Excellent keyboarding skills;
- Knowledge of an FTP and Zip software, encryption, DOS, Google productivity suite, Excel/Googlesheet (advanced), Safari and the Colleague’s Student Information System;
- Ability to produce under pressure;
- Ability to handle high volume of work;
- Comprehension of University policies, procedures, and practices.
