Description:
This role will be working out of the Toronto Regional Office and will require the successful candidate to work out of the regional office 3 days per week.
As a Senior Administrative Assistant, you will:
- Provide full administrative support to one executive with some additional support for three directors. Proactively manages executive and directors’ calendar with attention to accuracy, detail and allocation of time and resources to promote productivity and successful execution of executive and team goals and objectives. Recognizes the need to reprioritize as appropriate if business initiatives change and acts independently to realign executive priorities.
- Serves as a point of contact for the business unit or department. Answers questions, directs requests to appropriate partners and works with other partners effectively to exchange information
- Directs and executes complex administrative projects including coordinating, tracking or analyzing budgets; updating databases and organizational charts; organizing and planning travel; managing expense reporting; managing and tracking invoices as needed
- Meeting management including taking notes and follow-up documentation for key meetings; planning & organizing larger department meetings and events
- Onboarding new hires including coordinating onboarding plans, equipment, announcements and access
- Actively engages with executive's direct report team to ensure alignment of priorities and open communication paths. May attend direct report team meetings as requested
- Serves as a peer leader to administrative team within function
- Liaise with building management and Starbucks Support Center departments to ensure the Toronto Regional Office is resourced to effectively support our partners
- Works with leadership to create a welcoming office culture through events and activities
We’d love to hear from people with:
- Progressive administrative experience, 3-5 years
- Providing support to executive level management – or equivalent, 3-5 years
- Fast-paced environment, 7-9 years
- High School diploma/GED 4 or more years of experience in a role performing administrative assistant or coordinator job functions
- Experience in a role managing multiple calendars in Microsoft Outlook, 3+ years
- Demonstrates confidence, composure, and professionalism
- Advanced problem-solving skills
- Ability to effectively manage multiple projects, meet deadlines and reprioritize as needed; follows through on commitments
- Ability to communicate clearly and concisely, both orally and in writing, with attention to detail
- Ability to work independently, as part of a team and as a peer leader
- Advanced proficiency in Microsoft Office Suite
- Ability to handle confidential and sensitive information
- Ability to exercise sound judgment and independent decision making
- Demonstrates an aptitude for understanding the business, function and company priorities
- Knowledge of general office administration, procedures and equipment
