Description:

You will provide direct support to the executive director. You will also support divisional staff on a wide range of tasks and activities. A few of your key responsibilities include:

  • Engage with key internal and external partners as directed, with tact, respect, and diplomacy.
  • Track and report on collective project statuses of all divisional priorities.
  • Compile and structure key actions and outcomes coming from project meetings.
  • Prepare agendas and take accurate meeting highlights.
  • Coordinate electronic calendars, arrange meetings and travel accommodations.
  • Prepare various confidential correspondence across our various programs.
  • Review, sort and distribute mail to divisional staff.
  • Respond to inquiries from the public, agencies, and departments for multiple program areas.
  • Maintain accurate data, along with preparing statistics and reports as required.

 

 

Qualifications and Experience

 

 

You have a one (1) year business course and a minimum of three (3) years of secretarial, administrative or project support experience.

 

 

You are a collaborative team player and have proficient skills in the use of a variety of Microsoft programs such as Word, Excel, PowerPoint, Outlook or equivalent. Attention to detail and a high level of accuracy in your work is essential. You must use a great deal of judgement when handling inquiries because of confidential matters. Ideally, you are a multi-tasker and a self-starter who is highly motivated and results driven, with integrity and the ability to work with minimal supervision.
