Description:
Reporting to the Head of Engineering & VDC, you will be responsible for providing administrative support to our Engineering and Sales Departments in our Vancouver, BC office. This role will be the first point of contact for our clients and suppliers, providing administrative support to our Mass Timber Operations for both Canada and the USA.
Responsibilities
Provide administrative support as needed by managing calendars, scheduling meetings, answering and directing phone calls to the appropriate parties.
Assist in filing, scanning, archiving and provide data entry for expense reports, checking timesheets and ensuring that monthly duties are completed accurately and on time.
Maintain all sales databases and update the Customer Relationship Manager (CRM) tool with sales forecasts and leads.
Follow up with clients and potential clients on a weekly, monthly, or annual basis as dictated by management to ensure that their needs are being adequately met and to build rapport.
Arrange travel details for the group and assist in the planning of speaking engagements throughout the world on a quarterly or annual basis.
Organize the digital Library and keep the internal distribution list current
Act as the Document Controller for the Estimating and Project Execution teams to ensure all latest documentation is correct and in real-time.
