Description:
We have a term, full-time opportunity for a Receptionist and Office Coordinator at the Link Office. Reporting to the Manager, Culture, this role is an integral part of the Executive Office team, responsible for presenting a professional, welcoming, and knowledgeable first contact to Board of Directors, guests, tenants, vendors and staff. The successful candidate will undertake responsibility for the smooth operation and appearance of corporate reception and general office functionality, while partnering with other internal departments from time to time on special initiatives. This role is performed 100% in office and is a 6-month position ending April 2024.
Key responsibilities include:
- Present professional and welcoming first contact to guests, tenants, vendors and staff in person and on the phone; answering or referring inquiries
- Receive documentation and dispatch couriers; distribute mail as required
- Provide office coordination support to management when required including managing or ordering supplies or coordinating disposal of surplus materials
- Maintain the database, log claims, issue parking passes or troubleshoot issues for various programs for Health & Safety, Parking & Ground Transportation, and our visitor management system
- Provide assistance with typing, document distribution and database entry
- Provide assistance to staff in booking meeting rooms and coordinate external room booking enquiries
- Ensure office common areas are maintained for appearance and functionality, particularly meeting rooms and employee serveries
- Ensure office equipment is well maintained, report any problems and follow-up on repairs and ensuring photocopiers are filled
Key qualifications include:
- Two years’ post-secondary education or completion of a college certificate or diploma, preferably in an administrative field or an equivalent combination of training and experience
- Recent, related administrative experience
- Excellent working knowledge of MS Office (including Excel and Word)
- Strong organizational skills in order to multitask and work under pressure
- Solid people skills, a customer service mindset with the ability to work within a team
- Strong work ethic, professional and reliable, with a passion for what you do
