Responsibilities:

  • Customer Service: Greet and welcome customers as they enter the dealership, providing excellent customer service by answering questions and directing them to the appropriate departments or staff members.

  • Phone Management: Answer, screen, and forward incoming phone calls in a professional and timely manner. Take and relay messages when necessary.

  • Appointment Scheduling: Manage appointment bookings for sales, service, or other departments. Confirm appointments and provide reminders to customers.

  • Administrative Support: Assist various departments with administrative tasks such as filing, data entry, and maintaining records.

  • Managing Inquiries: Respond to customer inquiries regarding vehicle availability, services, or other dealership-related matters, either in person, over the phone, or via email.

  • Mail and Package Handling: Sort and distribute incoming mail, packages, and other deliveries to appropriate departments.

  • Waiting Area Management: Maintain a clean and organized reception area, ensuring that brochures and other materials are well-stocked.

  • Payment Processing: Occasionally assist with processing customer payments for service or parts, handling cash, and balancing the till.

  • Support Sales and Service Teams: Assist with the preparation of documents, such as sales agreements, and gather customer information as needed for the sales and service teams.

  • Customer Follow-Up: Make follow-up calls to ensure customer satisfaction after visits or services.

  • Office Supplies Management: Monitor and order office supplies to ensure that administrative and reception areas are well-stocked.
