Description:
Key Responsibilities:
- Ensure boardrooms, kitchens and common areas are clean and presentable
- Answer and screen all incoming calls and direct appropriately
- Greet guest and offer them refreshments, notify appropriate staff of their arrival
- Arranging and tracking local and international couriers
- Manage pick up, distribution and drop off of Canada Post mail
- Maintenance of coffee machines
- Send out staff birthday emails and update birthday list
- Document and appropriately direct incoming cheques
- Log service calls with landlord for any required office maintenance (i.e., light bulbs, heating/cooling, etc)
- Manage access cards (access card form submission, update data base)
- Audit and order office supplies, snack supplies, drinks and company branded stationary
• Create maildrop routes upon request using Canada Post software • Order installation and removal of marketing signage
- Process company invoices. Request addition of new vendors and banking information updates with offsite finance team
• Print labels for outgoing correspondence • Assist with planning and execution of staff functions
- Ad hoc projects as required
Background and Experience
- High school diploma or GED
- 0-3+ years of experience
- Front desk and/or office experience Competencies
- Strong written and oral skills
- Dependable and consistent
- Team Player with a positive attitude
- Basic computer skills, strong Microsoft Office Suite skills
- Ability to plan, organize and manage processes
- Knowledge of office administrative duties
- Ability to follow instructions and procedure
