Project Manager

Description:

The Project Manager (PMII) for CRM Solution is responsible for the delivery of projects within the Core Regulatory Transformation (CRT) program including (1) CRM solution delivery and (2) CRT ecosystem integration. The CRM Solution and CRT Ecosystem are significant components of the larger multi-year organizational strategic initiative called Business Transformation. The PMII will be responsible for planning, executing, and coordinating for an integrated delivery of a CRM upgrade while maintaining clear tracking and communication with other PMs for a successful CRT integration consisting of a finance system upgrade, document management, and data report integration. The PM must display excellent project management and stakeholder management skills, as well as effectively communicate with both technical and non-technical groups.

Collaborate closely with internal and external delivery partners to ensure successful delivery of the CRM Solution and CRT ecosystem integration.
Refine and implement a Program Governance structure that is efficient and focused on bringing about success in the Core Regulatory Transformation.
Engage with business stakeholders including the business Product Owners, Process Owners, SMEs, technical supporting teams and change management teams, ensure the inputs are gathered and analyzed thoroughly, and ensure that a rigorous method of measuring progress is in place for each project.
Coordinate with internal and the vendors’ Project Managers, develop project plan, manage timeline, scope, milestones, dependencies, risks, issues, actions, decisions, and budget on the day-to-day basis.
Collaborate with cross-functional teams to ensure successful project execution as well as with contractors to ensure vendors are held accountable per SOWS/Service Level Agreements.
Create and manage an integrated plan that includes areas of scope outside of the Vendor’s responsibility.
Identify and escalate new scope, risks and issues. Report project risks to CRT Project Sponsor and Product Owners. Mitigate and resolve issues that may impact project delivery across various projects.
Identify project dependencies across the CRM solution and integrated ecosystem to the CRT Program Manager and Project Sponsor.

CRM Solution And Ecosystem Integration Project Specific Duties

Participate in daily interactions with the POs by actively listening to their needs and concerns and guiding the conversation and actions with the project teams and vendors.
Provide project management to the CRT Project Leadership (e.g. Product Owners) to ensure design, build, and implementation efforts are supported. This includes but not limited to identifying appropriate attendees, planning and organizing workshop meetings, calendar and room bookings, document preparation and filing, whereas some of the duties would be supported by the CRT Coordinator.
Ensure all risks, issues, dependencies and decisions related to CRM Solution and CRT Ecosystem integration are tracked in ADO. Specifically, make sure that any related items to the delivery of the CRM Solution are resolved with the status reported.
Ensure that all CRM solution project dependencies/issues/risks/decisions are captured, shared, and addressed in collaboration with other PMs as required.
Coordinate internal project resources: Work closely with internal teams to ensure that the necessary resources, expertise, and inputs are available for the vendor's design and implementation team, enabling smooth collaboration and project progress.
Collaborate with Product Owners and SMEs to define and document project requirements, user stories, ensuring they are well-understood by the vendor and prioritized correctly in the Agile backlog.
Work with internal teams to plan and execute testing (e.g., UAT - User Acceptance Testing) of the CRM solution, ensuring that business requirements are met and that the system works as intended before full rollout.
Monitor vendor performance and deliverables: Track the progress of sprints, ensuring the vendor meets the agreed-upon milestones, quality standards, and timelines. Raise concerns or issues with the CRT Program Manager and/or vendor in a timely manner and drive corrective actions.
Facilitate internal stakeholder communication: Provide regular updates on project progress, milestones, and risks/issues to key internal stakeholders (e.g., Project Sponsors, Product Owners). Translate Agile terminology and progress into terms that are relevant and understandable for non-technical business team members.
Ensure that the project remains on track by managing timelines and milestones and resolve any issues that could delay the CRM delivery. Work with the vendor to ensure their sprints are aligned with overall project timelines.
While the external vendor will manage daily standups and grooming sessions, ensure internal participation in key Agile ceremonies where necessary, such as sprint reviews, retrospectives, and backlog refinement, to maintain alignment with internal objectives.
Ensure that appropriate documentation for the CRM solution is created and maintained as defined in the project plan. Plan for knowledge transfer sessions with internal teams post-delivery.
Conduct retrospectives with internal stakeholders to capture lessons learned, identify areas for process improvement, and apply these insights to future sprints.
Support post-implementation activities: Once the CRM solution is live, collaborate with internal teams and the vendor to ensure that post-implementation support, maintenance, and any needed enhancements are planned and executed efficiently.
