Program/administrative Assistant

 

Description:

Quantum is recruiting for a Program/Administrative Assistant for a large Insurance organization in Downtown Toronto. This position will involve providing administrative support to a Supervisor and their team.

 

Key Responsibilities:

- Respond to and resolve complaints and issues.

- Follow up on projects and ensure their completion.

- Prepare correspondence, memos, and status reports.

- Manage supervisor’s calendar and organize meetings.

- Act as a liaison between internal and external groups.

- Provide general information on programs and initiatives.

- Prepare annual budget plans, analyze expenditures, and forecast future needs.

- Monitor expenses and provide variance explanations.

- Develop reports to monitor trends and performance.

- Gather and compile data from various sources.

- Participate in committees and projects to facilitate decision-making.

- Liaise with facilities and IT on staff movement, equipment needs, and safety issues.

- Manage access to online systems, reset passwords, and authorize security access.

- Maintain and update the SharePoint site.

 

Requirements:

- At least 3 years of administrative experience.

- College diploma.

- Excellent organizational and communication skills.
