Program Examination & Educational Events

 

Description:

Summary of Key Responsibilities (job functions include but are not limited to):

  • Coordinate and participate in the delivery of all examinations, assessments and educational events
  • Schedule, organize and book all facilities bookings and contracts
  • Prepare and organize all event materials, communication and resources
  • Liaise with external examination agencies including The Medical Council of Canada, Touchstone, to determine exam requirements, candidate eligibility and exam result process
  • Maintain tracking, security and confidentiality of all examination and assessment materials
  • Contact temporary staff, ensuring adequate administrative support for events and training of temporary staff
  • Contact presenters/examiners/assessors ensuring adequate availability and expertise for events, arrange completion of all required paperwork and process
  • Liaise with the Chief Examiner regarding training of examiners/assessors
  • Liaise with Medical Skills Centre staff to determine need, and ensure sufficient and appropriate standardized patients are recruited and trained for exams
  • Ensure invoices are completed and payments are made in a timely manner
  • Liaise with the AIMG Medical Director, Program Directors and the Postgraduate Offices at the University of Alberta and University of Calgary for:
    • Clinical placements
    • Evaluations
    • Orientation
    • Curricular requirements
  • Work with the AIMG Program Operations Manager and other AIMG Program staff to ensure accurate and timely submission of results, data and other information to all relevant external agencies
  • Prepare data reports for the Operations Manager as required

Qualifications / Requirements:

  • Bachelors degree in related field is required
  • Previous work experience in medical education or equivalent university environment is required
  • Experience coordinating high-stakes examinations and medical education events is required
  • Excellent knowledge of educational institutions and Canadian postgraduate medical educational processes is required
  • High proficiency with Microsoft Office applications (Word, Excel, Power Point) is required and proficiency in other technology platforms (D2L, Qualtrics, etc) is an asset
  • Knowledge of and compliance with relevant University and Government privacy and confidentiality policies (FOIPP) is essential
  • Awareness of issues facing International Medical Graduates is an asset
  • Comfort in dealing with broad and diverse multicultural situations is preferred
  • Excellent language, communication and presentation skills
  • Excellent organizational skills with strong attention to detail
  • Ability to work independently and set priorities in a complex, fast-paced and dynamic environment
  • Flexibility to manage tight deadlines and changing circumstances
