What you’ll do

  • Coordinates outreach trips by liaising with the communities and the professionals of the Child Development and Rehabilitation Program to determine the possible patient list and suitable outreach dates; booking hotels, arranging for transportation and rental vehicles, and ensuring tickets are delivered to staff; collecting charts and providing professionals with information forms/materials for the outreach trip; and pre-admitting patients and making sure there is an active referral prior to being seen on the outreach trip as well as custom bookings for assorted other health professionals.
  • Assigns outreach credit cards to professionals and reconciles charges using guidelines and systems established by Finance. Reports discrepancies to Finance and Program Manager or designate.
  • Orientates and guides community professionals through scheduling process to enable them to prepare their own intake, scheduling, and processing of information needed in order for the children to be seen. Schedules and books clinical appointments for Sunny Hill teams/services. As required, sends out letters confirming appointments to families and community professionals.
  • Manages a central equipment pool, mostly laptops, for outreach activities including a master sign out list and ensures equipment is returned and stored securely after each trip.
  • Prepares billing information for the short-term contracts in accordance with the Letter of Agreements arranged with each community.
  • Creates and maintains a contact list of clinical professionals within communities in BC for use by Sunny Hill clinicians in order to refer children back to their own community services.
  • Orientates clinical and clerical staff on the patient tracking system. Prepares reports for the Program Director or designate as required. Reviews the data to ensure accuracy and consistency and brings forward concerns to the Program Manager. Assists staff in accessing and utilizing the system and responds to queries.
  • Assists the clinical lead for the Telehealth project in coordinating activities by performing duties such as preparing timesheets and reports for the Telehealth initiative, photocopying information packages and materials, and liaising with booking clerks to schedule patient appointment times, technicians, equipment, community professionals and families. Collects chart information for the professional regarding the child’s appointment and tracks information through the databases.
