Description:
As the successful Clinical Program and Marketing Coordinator candidate, you will be responsible for a wide range of tasks, including the development of social marketing content, overseeing/organizing clinical programming and courses, and providing support at our front desk during afternoon and evening hours. You have excellent multi-tasking skills and extensive experience working in a fast-paced, accommodating healthcare setting. You have a professional manner on the phone and excellent customer service, organizational, interpersonal and communication skills. You have a keen eye for detail, and sound knowledge of Canva, Instagram, Facebook, Microsoft Office Word, Windows, and Google Workspace.
Key Responsibilities:
Social Marketing Content Creation:
- Develop and execute social media marketing strategies to promote the clinic's services, offerings, and initiatives.
- Create engaging and informative content for various social media platforms, including posts, stories, and videos.
- Manage the content calendar to ensure regular and timely posting.
- Monitor and respond to online engagement and feedback, fostering positive relationships with our community of clients.
Clinical Programming Oversight:
- Work with regular front-desk staff to ensure continuity of service throughout the workday.
- Coordinate and manage a diverse range of clinical programs, including yoga classes and professional development courses.
- Collaborate with instructors and facilitators to ensure high-quality program delivery.
- Develop and maintain a schedule of events and classes, ensuring proper promotion and attendance tracking using clinic booking software (Jane App).
- Coordinate rental of clinical space.
Front-Desk Support:
- Assist other admin staff in providing afternoon and evening front-desk support, including welcoming patients, answering phone calls, completing billing and transactions and managing appointment scheduling.
- Fill appointment cancellations in the clinical schedule.
- Handle administrative tasks, such as checking in clients, booking and rescheduling tasks, and occasional third-party billing.
- Serve as a point of contact for inquiries and information dissemination about our clinic’s services.
- Help with the washing, drying and folding of laundry.
- Coordinate maintenance contractors as needed.
- Cleaning of clinic space and equipment.
- Managing efficient correspondence with clients and practitioners.
- Following proper clinical closing procedures each evening.
Qualifications:
- Graduate of a recognized Secretarial/Office Administration Diploma Program and/or Baccalaureate degree preferably from a health or social science related discipline.
- Minimum six (6) months experience in a related administrative role required.
- An equivalent combination of education and experience may be considered for this position.
- Advanced working knowledge of various computer applications, including Windows, Canva and Google Workspace.
- Experience in a related administrative/secretarial role is an asset.
- Experience in office scheduling/booking an asset.
- Demonstrated excellent organizational and interpersonal skills, attention to detail, initiative and able to work with minimal supervision preferred.
- Experience in a related role, in a health care environment preferred.
- The ability to maintain confidentiality is essential.
