Summary of Key Responsibilities (job functions include but are not limited to):

  • Responsible for the smooth operations and friendly and innovative aesthetic and culture of the Hunter Hub space; Identifies, recommends, and helps to implement development of and/or changes to space and event processes and practices to ensure smooth, efficient, and effective operations.
  • Managing space bookings from, and communications with, university and external partners and ensuring that all space booking clients are well-supported.
  • Responsible for general office management and space duties, including maintaining a calendar of key internal and external event bookings; ordering and maintaining office equipment and event supplies; tracking inventories; working with the University's Facilities teams as needed; and providing other space assistance to the team when required.
  • Responsible for supporting the Hunter Hub programming teams for their events in the space including room setup, catering, IT and AV (including Zoom backend), and other operational requirements are met at events.
  • Sourcing and working with vendors to provide services to Hunter Hub events as needed.
  • Responsible for recruitment, performance management and supervision of a small front-facing facilities team; Manage the quality and delivery of the facilities team members' duties.
  • Identify opportunities to be a brand ambassador and lead the facilities team by example by building strong relationships with internal and external networks; Communicate professionally with faculty, staff, administrators across the academic community, and students; respond to requests for information (and take necessary and appropriate action including triaging to appropriate team members).
  • Support the marketing and promotional efforts for the Hunter Hub through front line engagement with students, faculty, staff, University leadership and community stakeholders in a personable and professional manner.
  • Manage the Innovation Sandbox membership process and community; Organize a calendar of events to support and engage Innovation Sandbox members.
  • Responsible for budget forecasting, purchasing, tracking and reporting for facilities.
  • Ensure that financial transactions (requisitions and credit card expenses) related to facilities are processed within PeopleSoft in a timely and accurate manner; Process, follow up on, and ensure payment of all requisitions for the Hunter Hub.
  • Manage the Hunter Hub's vendor procurement process related to facilities: identify and qualify vendors with project lead, create contracts for procurement, and ensure smooth delivery of all agreed deliverables and activities.
