Key Responsibilities:

- Executive Support: Meticulously manage and optimize the President & CEO's schedule, including coordinating appointments, meetings, travel arrangements, and personal commitments, preparing reports and presentations to ensure efficient time use and prioritization of critical tasks.

- Communication Management: Serve as the primary point of contact for internal and external communications, ensuring clear and professional correspondence.

- Meeting Coordination: Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.

- Document Management: Create, maintain, and manage sensitive and confidential documents with the utmost discretion.

- HR Support: Utilize HR experience to assist in basic HR functions such as recruitment coordination, onboarding logistics, and maintaining employee records. Act as a liaison between the VP Finance and HR stakeholders to facilitate smooth communication and project collaboration.

- Project Management: Assist in overseeing and managing special projects as directed by the President & CEO, ensuring timely completion and reporting.

- HR Support: Utilize HR experience to assist in basic HR functions such as recruitment coordination, onboarding logistics, and maintaining employee records. Act as a liaison between the VP Finance and HR stakeholders to facilitate smooth communication and project collaboration.

- Event Planning: Coordinate logistics for corporate events, including board meetings, and company-wide gatherings.

- Expense Management: Process expense reports and manage the executive office budget, ensuring accurate and timely financial reporting.

Qualifications:

- Bachelor's degree in Business Administration, Human Resources, or a related field.

- Minimum of 3-5 years of experience as an Executive Assistant, preferably with some exposure to Human Resources.

- Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.

- Strong communication skills, both written and verbal, with the ability to interact effectively at all levels of the organization.

- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with HRIS systems.

- High level of discretion and integrity, capable of handling confidential information with the utmost confidentiality.

- Detail-oriented with a proactive approach to problem-solving and decision-making.

- Ability to work independently and in a team environment, demonstrating leadership and initiative.
