Executive Assistant I

 

Description:

Reporting to the Senior Clinical Manager, the Executive Assistant I plays a key role in providing comprehensive support to the senior-level clinical leadership team. The successful candidate will have the ability to work independently on projects, from conception to completion. They must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

The Executive Assistant will:

  • Act as the first point of contact for executive-level leadership
  • Complete a broad variety of administrative tasks for senior-level leadership, including managing multiple calendars, completing expense reports, composing and preparing confidential correspondence, compiling documents for travel-related meetings, and arranging complex and detailed travel plans, itineraries and agendas
  • Communicate directly on behalf of senior-level clinical leadership and executive team programmatic initiatives
  • Research, prioritize and follow up on incoming issues and concerns, including those of a sensitive or confidential nature in accordance with Freedom of Information and Privacy legislation
  • Provide a bridge for smooth communication between the senior-level clinical team and internal departments
  • Demonstrate leadership to maintain credibility, trust and support with senior management staff.
  • Act with diplomacy and judgement to uphold CASA’s values
  • Work closely and effectively with senior-level clinical leadership to keep them well-informed of upcoming commitments, responsibilities and emerging issues, and follow up appropriately
  • Manage a variety of special projects, some of which may have organizational impact
  • Complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters and memos, personal correspondence and other tasks that facilitate senior-level clinical leadership’s ability to effectively lead
  • Prioritize competing requirements and timelines to complete deliverables
  • Plan, coordinate and ensure that the executive team's schedule is followed and respected
