Description:
- Manage all aspects of the Executives short-term and long-term calendar, to ensure meetings are prioritized with internal and external clients and business partners as appropriate
- Monitor e-mail and incoming mail. Alert to issues requiring immediate attention; look for documents that require review or questions that need a response
- Proactively anticipates the needs of the team in a dynamic and fast paced environment
- Manages the administrative budget work (expense reimbursements and invoices)
- Manage all travel arrangements and accompanying material
- Manage access forms and moves (including details of office space, computing etc) for new or departing team members
- Effectively and proactively manages events organized by the leadership team, including town halls and other functional/social events, assisting in organizing content, attendees, facilities, and presenters
- Maintain contact with leadership team as required
- Partner with other Administrative Assistants as needed
- May perform other administrative duties as required
What will you need to succeed?
- A minimum of 3-5 years’ experience working as an Administrative Assistant supporting Executives and senior leadership;
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite; experience creating PowerPoint decks and presentations
- Ability to perform with professionalism and poise
- Strong interpersonal skills, ability to work in a team environment as well as independently
- Able to be proactive and take initiative, strong problem-solving skills
- Able to handle and maintain confidential company information
- Excellent organizational and time management skills
