Description:
Our ideal candidate would typically have (any, or a combination of) relevant experience, a degree in administration, project management, or an equivalent combination of education and experience.
Essential Duties & Responsibilities:
- Oversee all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence for the CEO.
- Manage and coordinate emerging issues, member concerns\issues and general inquiries on behalf of the CEO related to organizational issues.
- Determine the action required on internal and external materials directed to the CEO.
- File important documents, such as reports, meeting notes, emails, and letters.
- Possess an advanced understanding of coordinating, scheduling, prioritizing and expertise in Microsoft office suite.
- Keep the CEO’s calendar up to date, including adding events, rescheduling appointments, and providing daily briefings.
- Help to coordinate meetings and calendars.
- Participate in Management meetings by assisting with appropriate follow up and ensuring that administration of decision items are completed and approved by the key resources.
- Take meeting minutes and distribute to meeting attendees.
- Act as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customers.
- Plan and organize events that take place externally, such as annual general meetings, board meetings, regional customer meetings and industry conferences.
- Make business travel arrangements for senior management team.
- Keep important information and documents organized physically, and electronically.
- Maintain a high degree of discretion and confidentiality.
- Understand principles of governance
- Compile data to prepare reports or presentations.
- Act as a representative of the CEO.
- Support VP’s senior management team as needed.
- Additional projects and duties as assigned.
