Description:
We’re looking for an Executive Assistant to join our team at Felix Health and support our CEO & COO. In this role you will help keep our founding team organized and efficient by proactively moving conflicts and enabling our leaders to make an impact. This key position requires a proactive, multi-tasking individual with a strong sense of responsibility and initiative. The ideal candidate will understand the business needs quickly and adapt to various contexts involving internal and external stakeholders.
Key Responsibilities
- Anticipate needs and provide high-level administrative support to the CEO & COO
- Manage multiple calendars and schedules
- Interact regularly and cross functionally across multiple teams at Felix Health
- Organize team events, socials and team off-sites
- Perform non-administrative ad-hoc projects such as preparing reports and presentations, and gathering insights, research, and information to inform decision making
- Field and funnel incoming requests; exercise strong judgment and discretion with highly confidential information
- Review and manage materials and documents related to the execution of high-profile strategic projects and programs, ensuring accuracy and quality
- Assist in the preparation of presentations, reports, and other documents for internal and external stakeholders
- Streamline and offload the CEO & COO’s day-to-day cadence to increase their efficiency and impact, ensure their time is being spent in the most optimal way and partner with the executives in identifying priorities
- Provide support for special projects and other administrative duties as assigned
Requirements
- 3-5 years of administrative or Executive Assistant experience
- Extremely strong communication and interpersonal skills
- Experience directly supporting C-suite leadership
- Strong knowledge of G-Suite, and well versed in excel
- High attention to detail and accuracy
- Problem solver and strategic thinker
- Highly flexible and adaptable when faced with ambiguity
- Exercise judgment to identify, diagnose, and tackle problems
- Able to anticipate the needs of the CEO & COO and take proactive measures to meet these needs before they are officially requested
- Strong organization skills, with the ability to prioritize and balance multiple projects, and switch easily between tasks in a fast paced environment
- Ability to prioritize conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
- A high level of integrity and discretion in handling confidential information
