Here's what you will get to do:

  • Provide administrative support to the training program and coordinate all educational activities related to Fellowship, Observership, Elective Program, Medical Students and ACPAC Programs
  • Review, respond and action fellowship, observership, and elective requests
  • Coordinate the onboarding and offboarding (licensing, work permits, credentialing, contracts, HR administration, etc.) for all levels of trainees within the residency, fellowship, elective and observership programs
  • Schedule and coordinate trainee interviews, draft funding agreements, offer letters, and educational goals and objectives to meet organizational policies and procedures
  • Plan, coordinate and organize all educational activities and act as a central resource in Competency Based Medical Education
  • Prepare and collate trainee evaluations (ITARS) in support of learners’ Entrustable Professional Activities (EPA’s) for the Competency by Design (CBD) Program
  • Manage databases for faculty, residents, and learners
  • Develop and implement divisional program materials (orientation manuals, schedules, information packages) in support of the training program and elective program processes.
  • Plan, organize and lead program events
  • Provide support to the chief fellow, senior resident with on-call, clinic, and academic rounds and schedules
  • Coordinate and manage divisional schedules/block rotations to ensure appropriate learners are scheduled to meet divisional requirements
  • Schedule meetings with Program Director and trainees
  • Participate and lead RPC and Competence Committee Meetings and provide detailed agenda, minutes and other related materials to committees
  • Maintain trainees' vacation, absences, conference requests, and provide regular updates to the Program Director
  • Participate in educational development workshops (PGME training sessions)
  • Collaborate with internal and external stakeholders to ensure educational portfolios meet the needs and objectives of the program and the Royal College
  • Responsible for the maintenance (update and review) of website content for the education portfolio including CaRMS, University of Toronto, Rheumatology SickKids, U of T Portals, POWER and SharePoint.
  • Organize guest speakers, visiting lectureships. Plan and coordinate symposiums and conferences while keeping within training budgets, program deliverables and timelines
  • Assist in the development of required departmental reports
  • Organize and prepare reports, process invoice payments, call stipends, cheque requisitions, reimbursements, and honorariums
  • Assist in reviewing and maintenance of educational funds accounts, processing reimbursements, fund transfers and funding requests
