Description:
As an Education Administrative Coordinator, you will be responsible for the educational activities related to the Fellowship, Observership & Elective Programs. The Education Administrative Coordinator is the primary administrator and central resource to faculty, trainees, and Training Program Directors in the Division of Haematology/Oncology, Department of Paediatrics. You will work collaboratively with all stakeholders while building professional relationships with SickKids and external organizations. Reporting to the Paediatric Business Operations Manager, you will liaise with colleagues across the Tri-Divisional Administrative Team (Haematology/Oncology, Neonatology & Endocrinology).

Here's what you will get to do:
- Provide administrative support to the training programs and coordinate all educational activities related to Fellowship, Observership, and Elective Programs
- Coordinate the onboarding and offboarding (licensing, work permits, credentialing, contracts, HR administration, etc.) for all levels of trainees
- Schedule and coordinate trainee interviews, draft funding agreements, offer letters, and educational goals and objectives to meet organizational policies and procedures
- Prepare and collate trainee evaluations (ITARS) in support of learners’ Entrustable Professional Activities (EPA’s) for the Competency by Design (CBD) Program
- Manage databases for faculty, residents, and learners
- Develop and implement divisional program materials (orientation manual, schedules, information packages) in support of the yearly fellowship onboarding process
- Plan, organize and lead program events
- Provide support to the chief fellow, senior resident with on-call, clinic, and academic rounds and schedules
- Coordinate and manage divisional schedules/block rotations to ensure appropriate learners are scheduled to meet divisional requirements
- Review, respond and action fellowship, observership, and elective requests
- Schedule meetings with Program Director and trainees
- Participate and lead divisional meetings and provide detailed minutes to committees
- Maintain trainees' vacation, absences, conference requests, and provide regular updates to the Program Director
- Participate in educational development workshops (PGME training sessions)
- Collaborate with internal and external stakeholders to ensure educational portfolios meet the needs and objectives of the program and the Royal College
- Responsible for the development and maintenance of divisional websites
- Plan and organize guest speakers, visiting lectureships, conferences, and symposiums while keeping within budgets and program deliverables
- Assist in the development of required departmental reports
- Organize and prepare financial reports, process invoice payments, call stipends, cheque requisitions, reimbursements, and honorariums
