Description:
The Departmental Assistant will provide the department with a range of administrative and front-line support. Implements and maintains internal office practices and procedures in support of the efficient operation of the office, will assist with the implementation of departmental programs.
Responsibilities:
- Provide first level administration support and front-line client services for the department
- Provides information to students, staff, faculty and the Ryerson Community on the department including courses, policies, procedures, registration, appeals, coop program, etc.
- Assists with iexpense transactions, and Invigilators (CUPE 3) hiring process
- Implementing and maintaining internal office procedures
- Assists with the implementation of approved departmental processes and procedures like monitoring and closing sections, coordinating logistics of make-up exams & awards ceremony and maintaining curriculum and calendar changes.
- Other duties as assigned
Qualifications
- Successful completion of a post-secondary certificate program in office administration, business administration or a related field
- Minimum of 2 years of experience in a similar role within an office environment with the following requirements:
- Experience in word processing, report preparation, office procedures/practices, scheduling and event coordination
- Basic accounting and bookkeeping skills
- Demonstrated knowledge and application of word processing programs, Google Suite applications
- Demonstrated client service experience
- Demonstrated experience in providing general administrative support, logistics for events, including, tracking information, ensuring excellent front-line customer service experience providing information and referral support to students.
- Strong organizational skills to maintain internal office procedures, such as file and document management systems, recording, storing and retrieval of departmental information.
- Attention to detail in financial administration, such as petty cash requests, travel expense forms, and chargeback forms
- Good time management skills and flexibility to effectively prioritize and ensure completion of assigned work and change priorities as the need arises.
- Solid oral and written communication skills to interact with internal and external clients and to provide general correspondence.
- Demonstrated ability to work independently and collaboratively within a team environment.
- A demonstrated commitment to client service, including students, faculty and staff.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Gmail.
