Attention all customer service pros! We’re looking for a professional, approachable and organized Customer Service Office Assistant to join our team for a 6-month full-time term. Based at the front entrance of City Hall, you’ll be the welcoming face and first point of contact for both internal and external customers, delivering top-notch service while ensuring seamless office operations.
Reporting to the Accountant this role will handle a variety of clerical, cashier, and customer service tasks within the finance department. You’ll also provide support to the Finance Clerks in areas like Utilities, Taxation, and Accounts Receivable when needed. Accuracy and attention to detail are key, as your work will be reviewed for precision and thoroughness. If you have excellent communication skills, a positive teamwork attitude, and can juggle multiple tasks with ease, we want to hear from you!
Responsibilities
Cashier/receptionist:
- Greet customers in person or on the telephone, and by email answer or refer inquiries;
- Open and distribute incoming mail and faxes to appropriate mail slot;
- Receive payment in the form of cash, cheques, debit card, credit card, and telephone miscellaneous banking, input and generate systems receipt, and print a report listing the total daily receipts;
- Maintain the cash receipts system by setting up new cash receipts codes;
- Maintain an accurate and up to-date filing system;
- Scanning of receipts;
- Logging of citizen requests into tracking system;
- Prepare City of Wetaskiwin taxi, issue dog/cat licenses, and business licenses;
- Prepare tax certificates
- Download daily online bank payments and reconcile to bank deposit/entry;
- Sign up customers on pre-authorized payment plans for utilities and taxes;
- Accept applications for utility services and account connections/disconnections; and
- Daily deposit cheque/ cash deposit to the City’s affiliated bank(s).Unlock city hall front entrance in the morning and secure the entrance in the evening, access, and secure Finance vault;
- Other financial duties as requested
- Any other related reports/ work as needed by the management.
Education, Qualifications, and Work Experience
- First year Accounting Business Diploma or Certificate would be considered an asset
- Entry level knowledge in cashiering and processing payments and entering deposit
- Entry level knowledge in invoicing and completing customer accounts transactions
- Experience in customer service-related role would be an asset
Knowledge, Skills, and Abilities
- Knowledge and experience with assisting customers.
- Cash receipting experience
- Advanced office skills and able to manage multiple priorities.
- Superior customer service skills with the ability to communicate with the public, answer inquiries and communicate with other City departments.
- Knowledge of Finance software – Great Plains, Diamond Knowledge of A/R, Invoicing is considered an asset
- Fluent in verbal and written English
- Valid Class 5 Driver License required
