Description:
The Bilingual Office Assistant provides vital support to handling various reception and administrative tasks, while providing exceptional customer service to the general public, volunteers, staff, Service Users, and to the organization as a whole in both English and French. They serve a vital role as a friendly and welcoming first point of contact for March of Dimes Canada’s National Office and support the organization by managing calendars, coordinating events and meetings, addressing general inquiries, resolving issues by directing them to the appropriate staff, maintaining communication with vendors, and providing overall support to the Facility Operations team as needed.
Responsibilities
- Interact with service users/clients, staff, volunteers and guests in a professional and positive manner, ensuring a positive experience and first impression of March of Dimes Canada.
- Answer phone calls and greet visitors, providing general information about our programs and services, directing inquiries to the appropriate individuals based on their needs.
- Handle and resolve issues and complaints in a professional manner, ensuring a high degree of confidentiality and a formal handoff to the appropriate staff member.
- Maintain the front desk and general office space to ensure a safe, welcoming and friendly environment.
- Assist in general office administration including invoicing, event management, coordinating catering, arranging for repairs and other tasks and projects as required.
- Utilize various applications and databases, including Microsoft Word, Excel, Tactic, and other software programs, to input information, maintain records, and generate reports as needed (e.g., staff directory filing system, office equipment records, etc.).
- Participate in Occupational Health and Safety meetings and be a part of the Joint Health & Safety Committee team and adhere to all March of Dimes Canada policies and procedures.
- Assist the Facilities Operations team in mail management including FedEx, Purolator, Canada Posts, same day couriers, and other duties as required.
- Work in coloration with the Facilities department to support all facility needs as required.
Qualifications and experience
- High school diploma or equivalent required.
- A college diploma or certification in administration, or a related field, is preferred.
- Minimum of 3 years of experience in a related office role, with training in reception and customer service.
- Bilingual with excellent written and verbal communication skills in both French and English, capable of effectively translating responses and general information.
- Strong customer service and interpersonal skills.
- Proficient in Microsoft Excel and Word.
- Strong organizational skills with high attention to detail.
- Able to maintain an organized and productive workflow.
- Flexible to changing job demands and capable of balancing multiple tasks.
- Skilled at taking verbal and written direction and following through to complete assigned tasks.
