Description:
Characteristic Duties: Under the general supervision of the Manager of Arenas and the functional guidance of the Co-ordinator of Events and Administration.
- Process leisure and recreational facility bookings, program registrations, payments, post-dated cheques, security deposits, and refunds.
- Work in cooperation with the Arenas section and community groups in order to market and promote unbooked ice times and programs.
- Work in cooperation with the Financial Analyst and the Lead Facility Booking/Registration Clerk regarding the accounting functions of the Facility Booking and Program Registration system.
- Enter information for statistical reports and maintain Facility Booking and Program Registration system user guide.
- Assist in the administration of facility agreements, related policies, licenses, and billing advices.
- Liaise with facility staff/contractors, end users (re: booking and administrative updates).
- Maintain facility full time employees banked overtime records.
- Arrange documentation appointments for new employees.
- Perform payroll duties.
- Assist with the collection of overdue and delinquent accounts.
- Perform the duties of Recording Secretary of the Ice Allocation and other committees as requested.
- Perform receptionist and clerical duties as required.
- Process electronic ticket transactions for events as required for the Arenas section.
- Develop and maintain a thorough working knowledge of City of Greater Sudbury’s (CGS’s) Safety Manual and the applicable provincial legislation listed therein.
- Perform other related duties as required.
Qualifications:
- Successful completion of secondary school (grade XII) education.
- Over one (1) year up to and including two and one-half (2½) years of directly related experience including a minimum of 6 months of payroll experience.
- Knowledge of Facility Booking and Program Registration systems is required.
- Demonstrate and proven ability related to microcomputer software and administrative systems in a Windows environment (e.g., file maintenance, word processing, spreadsheet applications, information input and retrieval).
- Ability to demonstrate organizational and administrative skills.
- Ability to demonstrate interpersonal skills and experience in dealing with the public, staff, and outside agencies in a courteous and effective manner.
- Knowledge of electronic ticketing systems and ticket sales an asset.
- Excellent use of English; both verbally and in writing is required.
- French verbal skills highly desirable; written skills an asset.
- Satisfactory health, attendance, and former employment history.
- Provide, at own cost, a Criminal Record Check.
