Description:
The Advancement and Events Coordinator also provides Faculty-wide support for events, developing and organizing the logistics of numerous events within tight and conflicting deadlines. The incumbent serves as a main contact for Faculty of Information faculty, staff and external event conveners ensuring successful delivery of events (e.g., workshops, conferences, roundtables, business luncheons, dinners), whether in-person, virtual or hybrid format, with the highest level of quality.
Your responsibilities will include:
Fostering positive relationships with prospective and existing donors and alumni
- Assessing needs and contributing to the development and implementation of plans for prospect identification, cultivation, solicitation and recognition
- Collating background information packages for prospect stewardship activities
- Verifying donor contact records are coded correctly
- Analyzing client needs and making recommendations on event logistics and options
- Conceptualizing special events and/or functions and overseeing the implementation of event plans
- Resolving issues that may occur during events and escalating problems as required
- Conducting post-event evaluation, analysis and recommendations for changes
Essential Qualifications:
Bachelor's degree or acceptable combination of equivalent education and experience
- Minimum three years of experience in administration or development/fundraising
- Directly related experience planning, organizing and coordinating small to large scale events
- Broad knowledge of the principles of fundraising, including major gift and annual fund processes
- Strong experience with facilities and events coordination for a high volume of meetings, events and classroom bookings within tight and conflicting deadlines
- Demonstrated experience writing and editing itineraries, programs and marketing materials
- Experience recruiting, training and supervising volunteers
- Superior customer service skills
- Demonstrated strong organizational skills and the ability to manage competing deadlines and priorities
- Experience working in a customer relations management (CRM) database, including running reports
- Excellent communication skills both verbal and written
- Strong interpersonal skills and ability to build relationships with a variety of stakeholders
- High degree of personal accountability, professionalism and ability to manage confidentiality
- Ability to work collaboratively as well as independently with little supervision
- Excellent attention to detail
- Proficient in Microsoft Office, including Word, Excel, PowerPoint, Outlook, etc.
- Experience working effectively in the context of diversity and inclusion
- Available to work a schedule of alternating days/evening/weekends
