Summary of Key Responsibilities (job functions include but are not limited to):
- The primary purpose of this role is to review and evaluate applications to determine admissibility and advanced standing to all undergraduate programs, Open Studies and Special Admission Categories.
- Reviews and assesses eligibility for admission to the University of Calgary for applicants with primarily international credentials. This includes reviewing and verifying documentation from various educational backgrounds, completing data entry, clearing alerts, conducting grade conversions and calculating admission averages.
- Ensures qualified applicants are admitted in an efficient and timely manner in accordance with admission criteria and competitive standards established by the university and faculties.
- Expected to manage time effectively in order to meet and maintain service standards.
- Reviews courses taken at other institutions to determine transferability to the University of Calgary and posts credit as applicable. This includes posting transfer credit for UCalgary Letter Of Permission and/or Exchange students.
- Develops and maintains general admission information and documentation in support of the service strategy.
- Responds to student and faculty inquiries relating to undergraduate, Open Studies and Special Admission Category admissions by phone, email and in-person.
- Provides extensive knowledge of application procedures and can advise team, applicants or prospective students on procedural inquiries.
- Works with applicants and faculties across campus to provide a seamless and efficient admissions process of students. Develops cooperative and trusting relationships with stakeholders.
- Ensures integrity of information provided to students when advising. Offers information with discretion and tact to avoid misunderstandings or difficult encounters.
- Ability to have difficult conversations and provide un-favourable decisions to students in a clear, diplomatic and respectful manner.
- Contributes to ensuring internal procedures and evaluation decisions are clearly documented and understood by required parties with the larger Recruitment and Admissions team.
Qualifications / Requirements:
- A four-year University bachelor degree from an accredited/recognized institution is required.
- Requires in-depth understanding of admission criteria, as outlined in the Academic Calendar, for all undergraduate programs, Open Studies and Special Admission Categories.
- A minimum of two years related experience in post-secondary admissions is required.
- A minimum of two years advising prospective students at a post-secondary institution is required.
- A minimum of one year reviewing and evaluating student transcripts is required.
- A minimum one year working with the Student Administration components of PeopleSoft is required.
- Demonstrated ability to use a variety of software, including MS Office (or equivalent), an electronic document management system, a Student Information System (PeopleSoft or equivalent), Customer Relationship Management tool and to operate in a highly automated, paperless environment.
- Excellent attention to detail and accuracy and maintains high quality and consistency of work.
- Effective interpersonal skills with sensitivity to race, ethnicity, religion and culture and ability to convey information with diplomacy and tact.
- Strong professional communication and problem-solving skills.
- Ability to be decisive and thoughtful while simultaneously working with a level of ambiguity.Demonstrated ability to work in a fast-paced, high pressure, team-based environment and meet deadlines.
