Description:
The Administrative Support will provide comprehensive administrative support to the Safe and Healthy Communities team, including calendar management, meeting coordination, and document preparation. The successful candidate will be a detail-oriented individual with excellent communication and interpersonal skills. They will have a strong ability to multitask and prioritize competing demands in a fast-paced environment. This role requires a high degree of initiative, discretion, and the ability to work independently and as part of a team.
What will you do?
- Manage calendars and schedules for the Safe and Healthy Communities team, including prioritizing and coordinating appointments
- Coordinate meetings, including booking rooms, preparing agendas, and taking minutes
- Assist with the preparation of various documents, such as memos, letters, and reports
- Provide administrative support to the Section, including managing incoming and outgoing correspondence, tracking documents, and maintaining a filing system
- Process payments and track expenses, including cheque requisitions and invoices
- Provide clerical support to new hires and departing employees
- Assist with asset management, including tracking equipment and coordinating with IT
- Other duties as assigned
Qualifications:
- Completion of Grade 12 or higher, or equivalent
- Minimum of two (2) years of progressively responsible and diversified work/information processing experience; OR
- Minimum of two (2) years of progressively responsible and diversified data entry experience, including general office procedures
Assets:
- Experience with POSSE, Taleo, Ariba, and/or SAP
- Proficiency in Google Workspace and Microsoft Office applications
