Administrative Coordinator

 

Description:

Reporting to the Director of Health, Wellness & Accessibility, the incumbent is responsible for the business and administrative operations of the Campus Health Centre on the Kingston campus. The incumbent will also provide support to Brockville and Cornwall CHCs, under a tri-campus CHC service model. In this role, the incumbent is accountable for the provision of the daily business and administrative services as they apply to the daily activities, emergencies that arise, coordination of relevant clinics (i.e., flu shot, immunization, etc.) as well as all related reporting functions as required for academic programs, by the Director and Public Health. The incumbent oversees the maintenance of medical records, appropriate medical filing systems, data input related to immunization records, and information to facilitate the retrieval and processing of confidential client information/documentation.

Qualifications

Education and Experience:

A minimum of a two-year diploma in Office Administration - Medical (or equivalent). Must have Standard First Aid certificate and CPR level C.

A minimum of three years of practical experience in a high-paced, diverse medical office administration environment. Practical experience in a high-paced, diverse medical office administration environment. Experience with Electronic Medical Record Systems preferred.

  • Proficiency working in a computerized environment.
  • Knowledge of Health Practitioners demands/expectations, work environment/requirements and experience, ethics.
  • Scheduling, coordination, organizational skills, and ability to prioritize and discern urgency of need from individual patients.
  • Ability to articulate and understand immunization requirements by program
  • Time management skills.
  • Research skills for sourcing appropriate vaccine suppliers
  • Monitor how changing student population impacts demands/process (e.g., increase in international students requiring sourcing supply of vaccines)
  • Ability to collaborate with Physician/RN staff, program staff, SIS team, and other relevant stakeholders
  • Knowledge of individual immunization and program requirements
  • Knowledge of Canadian Immunization Guide
  • Knowledge of PeopleSoft and ability to navigate SIS system to ensure shell of requirement by program is linking to individual immunization College program requirements & immunization records recorded in timely manner
  • Knowledge of OMA guidelines and best practices & PHIPA legislation
