Administrative Assistants

 

Description:

  • Leads, develops, and coaches existing team of Administrative Assistants, including facilitating unit meetings, providing one-on-one coaching, fostering a team environment, and handling performance challenges
  • Assists colleagues in developing goals, and conducts annual performance reviews and compensation discussions
  • Partners with team members to assess staffing levels, balance/delegate workloads, and ensure that appropriate administrative skill levels are in place
  • Helps facilitate communication to meet and support organizational goals and client team changes as appropriate
  • Shares information with other Administrative Operations Managers (AOMs)
  • Ensures successful completion of deliverables and projects, including partnering with business leaders and consultants on ad hoc requests
  • Develops and maintains administrative talent by recruiting, onboarding, training, and developing growth opportunities for colleagues
  • Maintains professional and technical knowledge by attending educational workshops, benchmarking professional standards, reviewing professional publications, and establishing personal networks

Administrative Accountabilities

  • Coordinates complex meeting logistics on- or off‑site; may include, but not limited to, budgeting, travel arrangements, room reservations, meeting room logistics and materials, and catering
  • Administrative activities include email management, time recording, full calendar management, research, or other special projects
  • Actively participates in leadership meetings for follow‑ups and note taking
  • Daily interaction with internal and external executive leaders as well as their Administrative Assistants
  • Coordinates projects and works independently; seeks out answers to questions, takes initiative, leverages network of resources to solve problems
  • Acts as a senior point of contact for colleagues on technology or facility requirements
  • Expertly prepares and produces presentations and correspondence and related materials, including editing for grammar, punctuation, and clarity
  • Submits printing requests for meetings and other needs as required; ensures accuracy of printed materials before distribution
  • Maintains and grows an internal network and resources
  • Attends and participates in all AOM-focused workshops, seminars, and/or town halls and business town halls
  • Possesses expert‑level knowledge of Aon brand identity
