Responsibilities

  • Supports day-to-day operations by performing administrative and coordination tasks for manager, department or team.
  • Reviews tenders and Request for Proposal documentation and disseminates information appropriately.
  • Assists with preparation and coordination for the execution of tender documents.
  • Ensures that required documentation is distributed to required stakeholders internally and externally.
  • Creates, maintains and uses SharePoint sites and other information databases to manage document libraries.
  • Ensures appropriate document control and compliance through filing, composing and editing documents.
  • Demonstrates initiative and innovation to identify areas for improvement, and implement appropriate changes.
  • Assists with booking meetings and events as required, including arranging for catering, booking locations and distributing information.
  • Responds to general inquiries from internal and external parties.
  • Creates, edits and updates documents and templates in Word, Excel and PowerPoint.
  • Supports other administrative assistants (e.g. reception relief, monthly meetings, etc.).
  • Performs additional administrative tasks as required .

Qualifications

  • 3+ years of experience in an administrative role. Experience in the construction or engineering industry would be considered an asset, as would experience working with proposals or within an estimating or marketing and communications team.
  • Degree/diploma/certification in office administration would be considered an asset.
  • Advanced knowledge of Microsoft Office programs, including Word, PowerPoint and Excel.
  • Database management experience would be considered an asset.
  • Knowledge of Salesforce, Power BI and/or SharePoint would be considered an asset.
  • Demonstrates superior communication skills, professionalism, and confidentiality.
  • Impressive organizational skills and strong attention to detail and accuracy.
  • Works well independently and in a team environment.
  • Proactive and eager to add value, working with a team that values hard work while having fun.
