Administrative Assistant

 

Description:

  • Manage administrative support for areas including, but not limited to: invoice processing, budget reports, funding applications, publish newsletters & articles, and department inventory & purchases, meeting coordination for the Directors, taking of meeting minutes.
  • Coordinate internal and offsite events, through liaising with internal and external stakeholders, including arrangement of equipment, catering, and accommodation if required
  • Coordinate workspace and technology needs, such as procuring necessary equipment and supplies and ensuring supplies inventory is maintained and replenished as required
  • Manage company (ARC building) fleet vehicles including bookings, fueling/charging, cleaning, and minor maintenance
  • Operate with strict confidentiality of sensitive staffing and operational details

Key qualifications include:

  • Minimum 5 years of administrative experience, supplemented by a post-secondary certificate or diploma in Office Administration, Executive Assistant, or a related field; or an equivalent combination of training and experience
  • Proficient in Microsoft 365 including Word, Outlook, Excel, PowerPoint, SharePoint, and Teams
  • Experience with ERP software (e.g. Maximo, Oracle) for managing expenditures and budgets
  • Excellent organizational skills with the ability to meet deadlines and manage a variety of projects simultaneously
  • Ability to work independently with a high degree of initiative
  • Ability to exercise discretion when dealing with sensitive, highly confidential matters
  • Positive attitude and the desire to join a dynamic, project-oriented team
