Description:
- Manage administrative support for areas including, but not limited to: invoice processing, budget reports, funding applications, publish newsletters & articles, and department inventory & purchases, meeting coordination for the Directors, taking of meeting minutes.
- Coordinate internal and offsite events, through liaising with internal and external stakeholders, including arrangement of equipment, catering, and accommodation if required
- Coordinate workspace and technology needs, such as procuring necessary equipment and supplies and ensuring supplies inventory is maintained and replenished as required
- Manage company (ARC building) fleet vehicles including bookings, fueling/charging, cleaning, and minor maintenance
- Operate with strict confidentiality of sensitive staffing and operational details
Key qualifications include:
- Minimum 5 years of administrative experience, supplemented by a post-secondary certificate or diploma in Office Administration, Executive Assistant, or a related field; or an equivalent combination of training and experience
- Proficient in Microsoft 365 including Word, Outlook, Excel, PowerPoint, SharePoint, and Teams
- Experience with ERP software (e.g. Maximo, Oracle) for managing expenditures and budgets
- Excellent organizational skills with the ability to meet deadlines and manage a variety of projects simultaneously
- Ability to work independently with a high degree of initiative
- Ability to exercise discretion when dealing with sensitive, highly confidential matters
- Positive attitude and the desire to join a dynamic, project-oriented team
