Description:
As an integral member of International Education, you will be responsible for all aspects of the department's day-to-day operations, including the International Learner Program, Continuing Education and Virtual Education and Mentorship. You will report to and provide administrative support to the Director of International Education and matrix report to the Program Manager. Additionally, you will act as a resource and communication link for the department.
Here's What You'll Do
- Enhance and maintain document management system and act as SharePoint administrator.
- Handle incoming inquiries (both written and verbal) and manage calendars for direct reports.
- Establish and implement appropriate systems to support workflow efficiency.
- Process travel and expense reimbursement claim forms for direct reports.
- Record and transcribe meeting minutes; follow up and/or implement items resulting from minutes.
- Organize and plan meeting rooms, meals, and audiovisual equipment services for various meetings/conferences/events.
- Support all aspects of the International Learner Program (ILP), including the application process and act as the point of contact for international learners.
- Support administrative needs for Continuing Education services, and virtual Education and Mentorship projects.
- Other duties as required.
Here's What You'll Need
- Post-secondary degree or diploma in business or office administration with a minimum of 2 years of administrative experience.
- Availability to support projects at various times of the day within reason, given the time difference between Toronto and international clients.
- Excellent communication skills, excellent organizational, problem-solving, and analytical skills, and proficiency in Microsoft Office applications.
- Ability to manage multiple priorities, work independently as well as in a team environment, and adapt to a fast-paced work environment.
- Ability to think both conceptually and at an operational level.
- Experience and ability to recognize and be aware of various cultures as they relate to different regions.
- Experience working with international organizations is an asset.
- Demonstrated commitment to advancing equity, diversity, and inclusion objectives.
