Administrative Assistant

 

Description:

Responsible for front desk administrative duties such as routing phone calls, mailing, faxing and greeting visitors. Also responsible for maintaining spreadsheets and ordering office supplies and literature. General office duties, such as filing and assisting co-workers are also expected of this position.

Job Duties:

  • Answering the phone and directing calls to the appropriate department.
  • Greeting visitors and providing them with general support.
  • Replying to email, telephone or face to face enquiries and provide information by answering questions and requests.
  • Receiving, sorting and distributing incoming and outgoing mail, email and faxes.
  • Preparing courier shipments and related paperwork.
  • Working with spreadsheets, Microsoft word, Outlook and other documents, as well as data entry.
  • Maintaining multiple contact lists (internal and external).
  • Assisting in the preparation of regularly scheduled reports (including but not limited to daily summary, S2, etc.)
  • Developing and maintain filing systems, both manually and electronically.
  • Maintaining office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; obtaining quotes; placing and expediting orders for supplies and literature; verifying receipt of supplies.
  • Carrying out reception/administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Ensuring showroom area is kept tidy and presentable, including meeting areas. Replenishing brochures and ensuring there are adequate inventory levels of brochures/marketing literature and materials.
  • Handling sensitive information in a confidential manner.
  • Carrying out other duties as required from time to time.

Qualifications:

  • Post-secondary education or equivalent combination of training and experience.
  • Customer service experience would also be considered an asset.
  • Strong communication skills, organizational skills, and attention to detail.
  • Ability to work in a team environment with minimal supervision.
  • Strong level of computer skills and knowledge of Microsoft Office Products required.
