Description:
We’re currently seeking an Administrative Assistant to join our team in a full-time position. You will be responsible for providing professional and confidential administrative support to team members, patients and referring agencies. You are an integral part of the team, and patient experience, and as such, you are an enthusiastic team player and demonstrate maturity, confidence, and decision making skills. You must be highly detail oriented, with exceptional communication and interpersonal skills. You must also be empathetic, and have the ability to handle stressful situations.
As an Administrative Assistant you will:
- Provide day-to-day administrative support for our clinical team, including management, scheduling and organizing patient appointments, internal meetings and external meetings with referral agencies and stakeholders.
- Invoice and payment processing through a range of different insurance, third-party and personal payments.
- Initiate and manage business correspondence, such as but not limited to: booking hotels and conference proceedings, order meals, create agendas, distribute documents, take comprehensive notes, compile and follow up on action items.
- Be the first point of contact for patients, families and referral agencies - taking on the role of explaining referral processes, scheduling appointments, organizing payment and follow up meetings.
- Develop and maintain professional relationships internally with colleagues, as well as externally with key stakeholders and agencies - including all levels of government.
- Compile various data and reports, such as accounts receivables and payables.
- Complete waitlist forecasts, and quickly and efficiently offer patient appointments in real-time as they become available.
- Participate in regular meetings, training and professional development, and team activities.

- Demonstrated successful experience in administration assistant coupled with a college diploma, university degree or equivalent work experience
- Proficient technical skills, including an aptitude for technology and proficiency with Google Workspace, DocuSign, DialPad and other various calendar applications, and ability to learn insurance interfaces efficiently.
- You are extremely organized, able to prioritize tasks with competing demands and deadlines.
- You anticipate needs and maintain a high standard of quality in all aspects of your work.
- You grow and maintain positive relationships with internal and external stakeholders.
- You have an excellent professional and business sense, ensuring that all manners are handled effectively with tact, diplomacy and the highest level of confidentiality and integrity.
- Competencies in other languages will be considered an asset (French).
