Administrative Assistant

 

Description:

The position is responsible for the administration of Learning and Development programs, initiatives and processes.

ACCOUNTABILITIES

  • Deliver excellent customer service in all interactions, fostering a positive Team Member experience.
  • Coordinates across departments and branches to ensure timeliness of Learning & Development activities including administration of communications, service delivery, and effectiveness of program components.
  • Resolves inquiries from Team Members and People Leaders regarding guidelines, policies, Systems that require interpretation.
  • Provides oversight, and administrative support to branch team members, contractors, and contracted instructors delivering education programs.
  • Monitors and administrates day-to-day activity of learning and development program environments
  • Supports payment of invoices and procurement of new vendors along with administrative support of contract management.
  • Supports and backs-up HR colleagues with the coordination and administration of their various areas (i.e.: Pay and Benefits, Talent Acquisition, Advisory, Analytics).
  • Contributes to the team’s development of internal work practices (e.g., policies, procedures, and tools).

JOB REQUIREMENTS

  • 3 years of work experience in a corporate environment (or equivalent).
  • Experience in a high-volume environment with numerous competing priorities.
  • Demonstrated ability to think outside the box through creative solutions, openness to innovation and sound judgment.
  • Demonstrated focus on providing excellent customer service and building a consistent and positive employee experience and employer brand.
  • Strong technical aptitude with a demonstrated interest in applying analysis and process efficiency through technology.
  • Intermediate to Advanced level proficiency with Microsoft365 applications and SharePoint, with a solid technical aptitude.
  • Excellent problem-solving abilities.
  • Familiarity with modern HR solutions is an asset.
  • Ability to exercise judgment, initiative, and discretion.
  • Effective time management skills to handle multiple tasks and prioritize work.
  • Exceptional interpersonal skills, including active listening and empathy.
  • Strong team player who is eager to learn and actively support colleagues.
