Description:
We are searching for an Administrative Assistant to join our team on a part-time to full-time basis.
Must have excellent communication skills, attention to detail and ability to prioritize and manage time effectively while multi-tasking. Reporting to the Owner and Engineering Manager, the Administrative Assistant must have a high degree of integrity and be responsible to ensure accurate, complete and timely processing of project documentation, entering all details into MS Access Database. The Admin. Assistant will also prepare invoices, track project costs and ensure all relevant expenses are entered in Quickbooks.
Responsibilities:
- Prepare and issue invoices for engineering consulting work and follow up on any unpaid invoices
- Maintain records for 200+ projects per year and keep track of expenses and invoicing. Match employee hours to projects.
- Record, verify and ensure timely payment of expenses in accordance with the company’s processes and maintain accurate records.
- Maintain a positive working relationship with customers, managers and staff.
- Answer phones when other staff unavailable
Skills & Qualifications:
- 2 years of Admin. Assistant work
- Bookkeeping / Quickbooks experience
- Strong computer software literacy skills (including MS Office)
- Highly proficient in the use of MS Excel and MS Access
