Description:
There is a position available for an Administrative Assistant Trainer at the District Administration Office. Applications must be completed online and will be accepted on an ongoing basis until the position is filled.
This is a split position that addresses training needs for Administrative Assistant staff and works as clerical replacement around the District as required/available, reporting to the Director of Instruction on District issues and to the respective site Administrative Officer(s) when working at District locations.
Duties to be assigned include:
Trains new Administrative Assistant staff in general office procedures, District-related reporting, policies and procedures as well as Ministry requirements regarding student registration, student records and attendance. Trains in budgeting and financial record keeping.
Assists in completion/submission of Ministry reports at school level.
Organizes District-wide clerical in-services.
Organizes/assists and trains Administrative Assistant staff on software programs.
Performs all related clerical duties.
Updates and maintains School District Clerical Manual.
Trains staff on Student Information and Financial Systems in the School District setting, and troubleshoots issues.
Performs other job related duties as assigned by Secretary-Treasurer or Administrative Officer(s).
Qualifications and Attributes:
Grade 12 or equivalency
Up to one year of formal training in Business Technology and/or Administrative Office Management.
Extensive knowledge of office procedures. Must have proven skills in Microsoft Word, Excel, including computer experience with Microsoft Office, Windows, e-mail, and bookkeeping applications.
4-5 years of recent (within 5 years) previous Administrative Assistant experience.
Knowledge and experience in Student Information and Financial Systems, in the School District setting to train and/or troubleshoot for various locations in these programs.
Ability to manage difficult conversations in a professional manner
Must meet clerical, typing (40 w.p.m.) and other standards set by the School District. The whole of the results of the testing will be considered in the hiring process.
Ability to work independently and set priorities
W.H.M.I.S. Certificate and other online safety training provided by the District to be completed within the probationary period
Good interpersonal skills and the ability to be an integral part of a team
Must be able to pass a Vulnerable Sector Criminal Records Search conducted by the District prior to starting employment
