Here’s What You’ll Get To Do

  • Provide administrative support to several staff physicians in the Department of Critical Care Medicine
  • Maintain physician CV’s, Biosketch
  • Coordinate and organize physician’s calendar and schedule
  • Schedule and coordinate routine and complex meetings via TEAMS and ZOOM
  • Organize and prepare Committee meetings and Rounds
  • Record & transcribe minutes and independently prepare original correspondence including meeting agenda, letters, reports, and spreadsheets
  • Assist in developing and creating posters and PowerPoint presentations
  • Transcribe documents including manuscripts and reports
  • Assist in the organization of conferences and events
  • Arrange travel and accommodations
  • Process reimbursements and maintain physician memberships
  • Maintain Research Accounts, process accounts payable, and verify monthly expenditures
  • Provide research and grant support
  • Act as the primary resource for other members of the section
  • Conduct literature searches, pull articles and enter into endnote
  • Maintain reference/citation database and other electronic files
  • Assist with clinical activities as required
  • Handle incoming inquiries and respond appropriately
  • Review and distribute mail
  • Provide coverage and assist divisional support staff as required

Here’s What You’ll Need

  • Post secondary degree/diploma in business or office administration
  • Minimum 3-5 years of senior administrative experience, preferably in the health care industry
  • Expert knowledge and proficiency in all Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
  • Experience using Adobe Professional and Endnote
  • Exceptional interpersonal, oral and written communication skills
  • Proven ability to prioritize work in an efficient and organized manner
  • Highly developed analytical, evaluative and problem solving skills
  • Demonstrated high level of judgment, tact and diplomacy in interacting with a wide variety of internal and external stakeholders
  • Ability to work well independently, as well as, in a team environment
  • Ability to work in a fast paced work environment with many interruptions and multiple priorities
