Main responsibilities:
Provides support to research financial specialists and to research users. Carries out a variety of accounting functions.
Reviews submitted expense reimbursement reports and supporting documents/receipts. Verifies accuracy and completeness of information. If necessary, applies exchange rates as required. Investigates discrepancies in expense reports by obtaining relevant back-up documents or following up with appropriate fund holders. Sorts, codes, enters and verifies data. Conducts follow-ups by phone or e-mail. Refers complex problems to FST managers.
Reconciles Pcard expenses for assigned cardholders. Fills in during absences of Mail shop coordinator; sorts and processes mail, parcel deliveries, and courier shipments.
Sorts, indexes, scans and files back-up documentation according to established system. Uses wordprocessing software to produce correspondence and notices related to the duties of the position. Uses Banner FIS to process financial transactions such as IDC’s, journal entries, payments to suppliers, purchase orders (MMP), expense reports, travel advances, etc.
Other Qualifying Skills and/or Abilities
Experience with accounting processes/principles and fund reconciliation practices. Demonstrated ability to enter numerical data with absolute accuracy. Ability to pay attention to details, assess validity of documentation, prioritize and meet deadlines. Demonstrated organizational skills. Ability to interact with researchers in a confident & tactful manner, to clearly obtain and transmit information, mostly in written format. Experience with providing customer service and interact in French and English with drop-in clientele.
Demonstrated ability to work in a computerized environment using Microsoft software, including word-processing, e-mail, and extensive knowledge of spreadsheets, including use of Pivot tables. Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 3 (advanced for writing skills) and level 2 (intermediate, for spoken) on a scale of 0-4.”
